Accounts and Pricing - July 14th, 2008 by Diplomat Guru
Accounts
Navigator caters for both cash and account work and will even cope with more than one cash account. Regardless of how many accounts you have, Navigator will take the hard work out of producing invoices for your account customers.
You can even customise each account to make sure that only certain people from that account customer can book cars, and stipulate mandatory information that has to be taken on each booking, e.g. a purchase order number. Navigator will also create history lists of pick-up and drop-off locations for each account customer to speed up the booking process.
Rates
We know that private hire companies can work in very different ways and this was taken into consideration when we designed the pricing element of Diplomat Navigator. A company might have different rates for different account customers, different rates for the type of vehicles being used and different rates again for cash customers.
However your company works Navigator can cope because it offers a fully scalable rating system allowing you to set-up a customised flexible system that works for you.

Pricing
“Pricing” allows all account jobs to be checked and if necessary altered before creating the invoices, for example, a driver may have had to wait for a pick-up so the waiting time can be added to the job before invoicing.
Navigator can be configured to prompt the Despatcher for additional price details on completion of the job whilst the details are still fresh in the driver’s mind.
Fixed Prices
If this is a regular journey, for example the train station to a local Business Park, you may decide to fix the job price either for all accounts or just a particular account.
This will save pricing the job again in the future.
Invoicing
Invoices can be raised for all accounts or just selected accounts and the invoices can be previewed before printing. You can even change the layout style of the invoice for each account to show more or less information depending on the customers’ requirements. Click here for a short demonstration
Export to Sage
Alternatively if you use Sage Accounts, Navigator can create an export file containing all the data Sage needs to raise the invoices instead.
